Cancellation Policy & Treatment Cycles

GENERAL POLICY

  • All psychology, speech, and occupational therapy appointments cancelled with less than 48 hours’ notice OR 'No Shows' will be charged at the full session fee (inc any travel blocked off)

**As part of our Speech & OT treatment cycle policy, appointments are booked as part of a term-based block (12 weeks inc school holidays), so cancellations are not offered. However, with enough notice, we can provide rescheduling, telehealth sessions, or alternative support options where appropriate.

Please note: No alternative supports can be offered for late cancellations or no-shows, and ongoing unpaid sessions may place your therapy spot at risk.

  • Fees must be paid on the same day as the appointment. Clients with overdue accounts may lose their therapy spot.

SPEECH & OT TREATMENT CYCLES

** Applies to all Speech Therapy & Occupational Therapy clients only ***

To ensure consistency and progress all Speech and Occupational Therapy is structured in 12-week treatment cycles (including school holidays). As part of this approach, appointments are booked as part of a full-term block. We do not offer cancellations for Speech or OT sessions. This allows us to maintain regular, uninterrupted therapy which supports your child’s best outcomes.

  • Clients commit to a 12-week therapy Cycle (weekly/fortnightly/monthly appointments), run quarterly & INC THE SCHOOL HOLIDAYS

  • Client's session spot is secured for the entire Cycle, and so all sessions will be billed, even if notice is given to cancel.

  • If a client is unable to attend a session, the following alternatives are available:

    1. Telehealth session (if suitable)

    2. Reschedule within the same week (if availability allows)

    3. Alternative support session as agreed upon with you/your therapist, such as:

      • Home therapy activities/resources

      • Parent information session

      • Treatment update report

      • Multidisciplinary meeting with other therapists/support staff

    4. If no option is chosen, the clinician will select the most clinically appropriate alternative.

This structured approach ensures that clients receive consistent and effective therapy, helping them to reach their goals.
